1. Who we are

2. The service
CaseTrackr is software for Independent Social Workers and practices to manage matters, contact logs, dates, and related files. It is a case-management tool. It is not legal advice, and it does not replace your professional judgement or statutory duties.
3. Accounts
You must provide accurate details, keep your password and 2FA details safe, and use the service only for your professional work. You are responsible for activity under your account and for users you invite.
4. Subscriptions and billing
Paid plans are billed through Stripe as described on our pricing page at the time you subscribe. Fees are in GBP unless we say otherwise. If a payment fails, we may place the account in read-only mode until billing is brought up to date. You can manage seats and billing from company settings where available.
5. Your data
You own the case records and files you put into CaseTrackr. You grant us a limited licence to host and process that data solely to provide the service. You must have a lawful basis to record information about families, children, and other people. Our Privacy Policy explains how we handle personal data.
6. Microsoft 365 and other connections
Document storage via SharePoint, and mail or calendar sync, only work if you connect your own Microsoft 365 account. Those services are provided by Microsoft under their terms. We are not responsible for Microsoft outages or for how you configure your tenant.
7. Acceptable use
You must not misuse the service, attempt to access other customers' data, upload malware, or use CaseTrackr in a way that breaks the law. We may suspend an account if we reasonably believe these terms have been broken.
8. Availability
We aim to keep CaseTrackr available, but we do not guarantee uninterrupted access. We may perform maintenance and will try to keep disruption to a minimum.
9. Liability
The service is provided as-is. To the fullest extent permitted by English law, CaseTrackr LTD is not liable for loss of profits, loss of data (except where caused by our negligence and not recoverable from backups you control), or indirect loss. Nothing in these terms limits liability for death or personal injury caused by negligence, or for fraud. Our total liability for a claim is limited to the subscription fees you paid us in the 12 months before the claim.
10. Ending the service
You may stop using CaseTrackr by cancelling your subscription. We may end or suspend the service if you materially breach these terms or if we have to stop operating the product. After closure we will handle remaining data as described in the Privacy Policy.
11. Changes
We may update these terms. We will post the new version on this page with an updated date. Continued use after a change means you accept the new terms.
12. Governing law
These terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction.
